Manage margin

Stock, reservations and receipts — so you never sell what you don’t have

A rep sees stock and reservations when adding a quote line. An order reserves goods with an expiry, a supplier receipt tops up stock, and the movement log shows where it all went.

Available from the Margin plan, $399 per month, 5,000 transactions included

Stock levels: how much is in the warehouse, how much is reserved for deals and how much is free.

What it looks like without Krokul

  1. Stock lives in the accounting system, orders in the CRM. A rep promises to ship tomorrow, but the goods are already gone — a colleague sold them an hour ago.

  2. Goods get set aside “for a client” verbally. Two weeks later the client hasn’t paid, the goods are still sitting there, and another buyer was turned away.

  3. A shipment arrived, but stock was only updated on Monday. For three days reps were telling buyers it was out of stock.

What Krokul does

Stock and reservations right in the quote

When adding a line you see: in stock, reserved, available. Selling more than is available is only possible deliberately, marked as “backorder”.

Reservations with an expiry date

An order reserves goods for a set time — until payment or a date. When it expires, the reservation releases on its own and the goods are available to others again.

Receipts with the purchase price

A shipment is received into a warehouse with quantity and price; stock updates immediately, and the batch price updates the product’s weighted average cost for margin.

What to order from suppliers

Products whose available stock has reached the reorder point or fallen below the minimum are collected into one list with the missing quantity — never less than the supplier’s minimum order. The list exports as a file split by supplier, with their SKUs.

Multiple warehouses and a movement log

Stock by warehouse, transfers between them, adjustments with a reason. Every movement is logged with a date, author and document.

How it works

  1. Catalog with variants

Products with variants and bundles, categories, codes, units. Import from a supplier’s spreadsheet — with price and stock updates.

  2. An order reserves

A deal with line items places a reservation in the selected warehouse with an expiry date. Available stock for other reps drops at the same moment.

  3. A receipt replenishes

A supplier shipment is received with a document: quantity, purchase price, warehouse. Stock and average cost are updated, the batch price is in the log.

  4. A shipment writes off

A delivery note from the deal writes the goods off the warehouse and releases the reservation. The movement log shows the full path of every unit.

Result

  • Two reps can’t sell the same item: everyone sees the reservation at the moment of sale.
  • Goods don’t sit “reserved for a client” forever — the reservation expiry releases them.
  • Stock updates the moment goods are received, not at the end of the week.

What’s not included

Krokul is not a WMS: there are no bin locations, order picking, labeling or barcode terminals. There is no production planning or raw-material accounting either. For a large warehouse, Krokul exchanges stock with your accounting or warehouse system via the API. Cost for margin is the weighted average of receipts across the company; FIFO is available on request.

Questions

How many warehouses can I run?

Several — as many as your locations; stock is visible per warehouse and in total.

What happens to a reservation if the client doesn’t pay?

After the expiry date the reservation releases on its own; the rep sees this on the deal and can renew it deliberately.

Can stock be synced with an accounting system?

Yes, two-way via the API: receipts and write-offs can come in from outside, and reservations can go out.

How is this different from inventory in an accounting system?

An accounting system doesn’t know your deals and reservations, so a rep sees total stock rather than available stock. In Krokul stock, reservations and orders live in one database, and the quote shows the truth at the moment of sale.

How much does it cost?

Catalog and stock levels from the Money plan; reservations, receipts with purchase price and multiple warehouses on the Margin plan, $399 per month. Delivery notes and receipts count as transactions.

How do I run a stock count?

On the product record, in the movements tab: a stock count corrects the level to the actual quantity, and a transfer moves goods between warehouses. Every movement is logged with author and time.

How do I know when it’s time to reorder?

Set a reorder point or minimum stock on the product record. When available stock reaches it, the product appears in the “What to order” list with the missing quantity, and a button in the catalog shows how many such items there are. The list exports as a file for the supplier.

Upload your catalog and place your first reservation

Import products from a spreadsheet, set up a warehouse — and the next order reserves goods with an expiry date. Receipts will top up stock and the average cost.

Unlocks on the Margin plan together with cost and completion certificates.
