# Won the deal? Turn it into a project and track hours against what’s paid

A won deal becomes a project in one step, with what was sold and the contacts inside. Hours are deducted from the paid ones, and overage shows its cost before the invoice.

**In short.** Krokul is a B2B CRM with a project layer: a won deal becomes a project with the scope of work, contacts and the number of paid hours; engineers log hours with a timer from a task, a card or the top bar; overage beyond paid hours is shown with its price at your rate; the completion certificate is built from actual hours, and client margin (sales minus hours minus cost) is the same number for the owner and the project manager.

**Who it’s for:** IT companies and system integrators; service companies with support packages; engineering, consulting and agencies with hourly contracts.

**Plan:** Available from the Margin plan, $399/month, 5,000 transactions included

## What it looks like without Krokul

1. You sold a project, and implementation starts with asking the salesperson what exactly was sold and whom to call.
2. Hours are logged in a task tracker, the hour limit is in the contract, the invoice is in accounting. People learn that the paid hours ran out when the client refuses to pay for the overage.
3. Post-project support relies on one manager’s memory: only they know who worked how many hours this month.

## What Krokul does

### A project from a deal in one step

What was sold (scope of work from the quote), the client’s contacts, agreements and documents carry over to the project; nothing needs retyping.

### Paid hours and a timer

The number of paid hours is recorded in the project. The timer starts from a task, a card or the top bar; hours are logged to both the project and the client.

### Overage is visible right away, with its cost

As soon as more hours are worked than paid for, Krokul shows by how many hours and how much it costs at your rate, before the invoice is issued.

### Everything unbilled in one list

The Unbilled screen gathers work done without a completion certificate or invoice across all clients: hours over the package, closed project months, contract milestones, won deals and subscriptions. Each row shows the amount and a “Create certificate” or “Issue invoice” button.

## How it works

1. **The deal is won, the project is created** The project is created from the deal card: scope of work, contacts, documents and the number of paid hours carry over from the quote.
2. **The engineer starts the timer** From a task or the project card, hours are logged automatically; adding an entry by hand takes a minute. Engineers see the hourly cost only if their role allows it.
3. **The manager sees how many hours are left** Each project shows paid, used and remaining. Overage is highlighted together with its amount at the rate.
5. **Every morning you see everything unbilled** The Unbilled screen shows how much finished work is waiting for a document and since when, in total and by client. The document is created from the row, and the row disappears on its own.
6. **You see what you earned on the client** Margin is sales minus hours at the rate minus cost. The owner and the project manager see the same number.

## Result

- Implementation starts with the work, not with questions.
- You discuss hour overage with the client before the invoice, not after they refuse to pay.
- What the project cost is known on the day it closes, not at the end of the quarter from Excel.
- Finished work makes it to the invoice: everything unbilled is visible in one list every morning.

## What’s not included

Krokul isn’t a project management system with Gantt charts and task dependencies. It covers the project’s scope of work, tasks, hours and money.
Krokul doesn’t calculate payroll from hours.

## Questions

### Can I run a project without a deal?

Yes, a project can also be created directly; creating it from a deal saves retyping the scope of work and contacts.

### What does an engineer see?

Their own tasks, hours and the project’s paid hours. The hourly rate, cost and margin only if their role allows it, and this is enforced by the server.

### How is overage calculated?

Hours beyond the paid ones are multiplied by the hourly rate, either the company’s or the specific project’s. The result shows in the project right after hours are logged.

### Can I handle support after the project?

Yes: you create a support project with a monthly hours package, hours are deducted from it, and an invoice is issued monthly on a schedule.

### How is this different from a time tracker?

A time tracker knows the hours but not how many of them are paid for and at what rate. In Krokul, hours sit next to the contract, invoice and cost, so overage and margin are calculated without exporting to a spreadsheet.

### Where do I see everything unbilled across clients?

In Documents → Unbilled: hours over the package, project months without a certificate, contract milestones, won deals and subscriptions without an invoice, across all clients, with the total in the company’s base currency.

## Sell a project and see what it costs you

Win your first deal, create a project from it and start the timer. Remaining hours, overage and margin show up on their own.

Unlocked on the Margin plan together with cost and completion certificates.
