# A bank payment shows up in the deal right away, and the debtors list is ready every morning

The accountant records payments from the statement in one action, the rep sees the client’s debt on their record, the manager sees all debtors by aging. All three see one amount.

**In short.** Krokul is a B2B CRM where an invoice issued from a deal becomes an expected payment with a due date; the accountant confirms payments from the bank statement in one click, partial payments and refunds are recorded separately, and client debt is tracked per invoice and per currency. The debtors list is grouped by days overdue: up to 7 days, 8–30, over 30.

**Who it’s for:** B2B companies with payment terms and milestone invoices; distributors with dealers and credit limits; service and project companies with an advance and a balance.

**Plan:** Available from the Money plan, $149 per month, 1,000 transactions included

## What it looks like without Krokul

1. The invoice was issued from the CRM, the payment showed up at the bank, and “paid” was set on the deal a week later — or forgotten.
2. Who owes how much is known to the accountant on Friday. On Monday the rep calls the client asking them to pay something that’s already paid.
3. The promise “we’ll pay on Thursday” lives in the rep’s head. On Thursday nobody remembers it.

## What Krokul does

### Payments from the statement in one action

The accountant opens the statement, marks the expected payments in Krokul that appear in it, and confirms them in one click. The exchange rate is fixed on the payment date, and the money is applied to the oldest unpaid invoice.

### Advance, milestones, refunds

An advance, a milestone payment and the balance are recorded separately within one invoice. An advance invoice is issued in one click straight from the expected payment — no re-entering line items. A refund is linked to the payment being refunded, not entered as a minus in a spreadsheet.

### Who is overdue and by how much

Debts are grouped by days overdue: up to 7 days, 8–30, over 30 — per invoice, with amount, currency and last contact. The list is visible every morning, not at month-end.

### Payment promises don’t get forgotten

The rep records “we’ll pay on Thursday” on the client’s record, and a task to check the payment is set for Thursday. If the money doesn’t arrive, it shows in the debtors list.

## How it works

1. **Issue an invoice — Krokul knows when to expect the money** The invoice is issued from the deal card. Its amount and milestones become expected payments with dates.
2. **The accountant confirms payments from the statement** They see incoming funds on the statement and confirm the matching expected payments in one click. If only part was paid, they record it separately.
3. **Overdue is counted from the invoice due date** Every invoice has its own due date, and overdue days are counted from it, not “sometime since March”. The client’s total debt is on their record, separately for each currency.
4. **The manager sees all debtors** Debts are grouped: up to 7 days, up to 30, over 30 — with amounts. From a group — one click to the invoices and the client’s record.

## Result

- “Paid” appears on the deal the same day the money hits the bank.
- The rep doesn’t call about paid invoices: the client’s debt is on their record.
- Debts can be collected every morning, not at month-end when it’s already too late.

## What’s not included

Krokul has no bookkeeping, tax reporting or payroll. It works alongside your accounting software and exchanges data with it via the API.

## Questions

### Can I record a payment without an invoice?

Yes. It is then applied to the client’s oldest unpaid invoice, or waits until someone links it to an invoice manually.

### How is overdue calculated?

For each invoice separately, from its due date. A client with three invoices can be in three groups at once.

### What about currency?

The exchange rate is fixed on the payment date. Client debt is tracked separately in each currency, without conversion at today’s rate.

### Who sees the debts?

It depends on the role: a rep sees their own clients, a manager sees everyone. The server checks this on every request.

### How is this different from payment tracking in a typical CRM?

A typical CRM has an “amount” field and a “paid” status someone has to set by hand. In Krokul a payment is a separate record with a date, amount, currency and invoice, so debt, overdue days and promises are calculated automatically, and the accountant and the rep see the same number.

### A client paid several invoices with one transfer — how do I split it?

In the payment form the amount is allocated across the client’s invoices, and the remaining debt is visible immediately. Due dates of several scheduled payments can be moved together, in one action from the list.

## See your debtors today

Bring your invoices over from a spreadsheet or another CRM, record payments from the statement — and the debtors list by aging appears on its own.
