# The contract and invoice come straight from the deal

The client approved the quote, and the contract and invoice come from the same card with the same line items, amounts and payment stages. Nobody retypes anything a third time.

**In short.** Krokul is a B2B CRM that creates six document types from the deal card: quote, contract, invoice, delivery note, completion certificate (act of work performed) and return. Line items, prices and payment stages carry over from the quote to the contract and invoice without retyping; each document has versions and prints from the company’s own template; an invoice becomes a scheduled payment with a due date.

**Who it’s for:** B2B companies with contracts and staged invoices; distributors issuing delivery notes; service companies issuing completion certificates.

**Plan:** Available from the Money plan, $149 per month, 1,000 transactions included

## What it looks like without Krokul

1. The quote was made in Word, the contract in the lawyer’s template, the invoice in the accounting software. Three files, three sets of amounts, and one of them has the old price.
2. The client asks for “the same quote, but without the second item”. The rep edits the file and sends it, and a month later nobody knows which version was the last one.
3. The invoice has been issued, but the CRM knows nothing about it: how much to expect, when it’s due, whether it’s paid — ask the accountant.

## What Krokul does

### Six documents from one card

Quote, contract, invoice, delivery note, completion certificate and return are created from the deal and inherit its line items, prices, currency, client company and contacts. The contract comes from the quote, the invoice from the contract or straight from the quote.

### Versions instead of files

Editing a document creates a new version; previous ones stay with their date and author. The client gets the approved version, and that’s the one shown in the card.

### Payment stages in the invoice

30% upfront, 50% after installation, 20% balance: stages are set in the invoice and become separate scheduled payments with due dates.

### Print from your own template

Print templates with the company’s details, signatures, logo and fields. Quotes, invoices and contracts look the way your clients are used to, not like a “system form”.

## How it works

1. **Build the quote from the catalog** Line items from the catalog at the client’s prices, several quote options, a discount within the limits of the role. The client picks an option, and it becomes the basis for the other documents.
2. **Contract and invoice from the approved option** One action, and the contract with its subject, amount and parties is ready; the invoice has the same line items and payment stages. Numbers follow your own numbering.
3. **The invoice becomes a scheduled payment** Each invoice stage is a separate record with a due date. A payment from the bank statement confirms it, and the deal shows “paid UAH 50,000 of UAH 106,800”.
4. **The completion certificate closes the work** The certificate is built from a contract stage or from the project’s actual hours; after it comes a delivery note, or a return if something came back.

## Result

- Amounts in the quote, contract and invoice are the same, because it’s one set of line items.
- A rep issues an invoice alone in a minute, without waiting for the accountant.
- The deal card shows all documents, versions and how much of the invoice is already paid.

## What’s not included

Krokul is not accounting software: tax invoices, reporting and ledger postings are not kept in it. Invoices and payments are passed to your accounting system through the API. There’s no e-signature inside Krokul: a document is printed or sent as a file.

## Questions

### Can I change invoice line items after it’s created?

Yes, that’s a new version of the invoice. Scheduled payments are recalculated, and the old version stays in the history with its date.

### Are documents in a foreign currency supported?

Yes. The currency and exchange rate are locked on the deal, and the document inherits them; client debt is tracked separately in each currency.

### How do I make my own contract form?

A print template with company and deal fields is set up in Krokul; complex forms are usually built by an implementation partner in a day or two.

### How is this different from document generation in a typical CRM?

A typical CRM fills fields into a Word file. In Krokul a document is a record in a chain: the invoice knows its payment stages, the payment knows its invoice, the completion certificate knows the hours. So debt, overdue amounts and margin are calculated without manual reconciliation.

### What counts as a transaction?

Each new document of any type is one transaction; versions of the same document don’t count. The Money plan includes 1,000 transactions per month.

### Can I print on my own letterhead?

Yes. Print forms for each document type are edited as HTML with document fields inserted; one form is the default, and that’s the one printing uses. You can restore the standard form at any time.

### What if the terms changed after the document was issued?

Create a new version of the document; the previous one stays in the history. For a similar deal you can copy a document, and a document issued by mistake is voided with a reason instead of being deleted.

## Issue your first invoice from the deal card

Create a deal, build a quote from the catalog and turn it into a contract and invoice. The amounts will match, because nobody retyped them.

Included in the Money plan.
