# The exchange rate is locked on the deal, not on the payment date

You quoted in dollars, and Krokul locked the rate on the deal. The payment is recorded at its own date’s rate, so the difference is visible instead of quietly eating your margin.

**In short.** Krokul is a multi-currency B2B CRM: price lists and quotes can be in dollars, euros or UAH; the exchange rate is locked on the deal when it is created or approved and carries over to the contract and invoice; rates update from automatic sources on a schedule or are set manually; a payment is recorded at the rate of its own date, so the exchange difference is visible; client debt is calculated separately in each currency without converting at today’s rate; VAT rates are a closed list, not an arbitrary number.

**Who it’s for:** distributors of imported goods; IT companies with prices in dollars and invoices in UAH; exporters and companies with clients in several countries.

**Plan:** Available from the Money plan, $149 per month, 1,000 transactions included

## What it looks like without Krokul

1. The quote was approved in dollars in January. The invoice went out in March at March’s rate, and the client refuses to pay “8% more than we agreed”.
2. The client owes “about 200 thousand”, because some invoices are in dollars, some in UAH, and someone converted at yesterday’s rate.
3. Rates are updated by hand from the bank’s website once a week. On Monday every quote goes out at last Tuesday’s rate.

## What Krokul does

### The rate lives on the deal

When a deal is created or approved, the rate is locked in its card. The deal’s documents take it from there, so the UAH invoice matches the price agreed in dollars.

### Rates from sources

Rates are pulled from an automatic source on a schedule; you can set a custom rate for an individual deal. Rate history is kept.

### Payment at its own date’s rate

A payment is recorded in its currency at the rate of the payment date. The difference between the deal rate and the payment rate is visible in the card instead of getting lost.

### Debt per currency

Client debt is tracked separately in each currency: $4,800 and UAH 71,800, not “about 250 thousand”. VAT rates are a closed list, so the percentage is never wrong.

## How it works

1. **Set currencies and a rate source** Company currencies, base currency, rate source and update schedule. VAT rates come from a list.
2. **The deal locks the rate** The quote price is in the price list currency; the deal rate is locked and shown in the card. You can change it deliberately, and the change stays in the history.
3. **Documents inherit the rate** The contract and invoice take the currency and rate from the deal. A UAH invoice for a dollar quote, with no manual conversion.
4. **Payments and debt per currency** Each payment at its own date’s rate; debt in the client card, separately per currency, with overdue amounts.

## Result

- The client pays at the agreed rate, and there’s no “8% more” dispute.
- Debt in each currency is exact, with no “approximate” conversions.
- Rates update on their own, and Monday’s quote goes out at Monday’s rate.

## What’s not included

Krokul doesn’t keep accounting exchange differences under accounting standards or post currency entries; that’s the job of your accounting system. It doesn’t execute currency payments or conversions, it only records payments.

## Questions

### Where do the rates come from?

From an automatic rate source on a schedule; you can also set a rate manually, for the company or for an individual deal.

### Can I issue an invoice in a foreign currency?

Yes, an invoice can be in the deal currency or in the base currency at the deal rate, depending on how you settle with the client.

### How is client debt calculated across several currencies?

Separately for each currency, without converting into one. For a company-wide summary, an equivalent at the current rate can be shown as a separate number.

### How is this different from a “currency” field in a typical CRM?

A “currency” field shows a symbol next to the amount. In Krokul the rate is a property of the deal that documents inherit and payments are compared against, so the exchange difference is visible and debt doesn’t “float” with the rate.

### How much does it cost?

Currencies, deal rates and debt per currency are included in the Money plan, $149 per month.

## Lock the rate on your first deal

Add the dollar to your company currencies, make a quote in dollars and an invoice in UAH. The rate carries over on its own, and the difference is visible.

Included in the Money plan.
