# A client company with details, terms and a history that stays when a rep leaves

One card: details, terms, credit limit, debt per currency, deals, documents and correspondence. What was promised to the client stays with the company when a rep quits.

**In short.** Krokul is a B2B CRM built around the client company card: details with the company registration number (EDRPOU), multiple contacts, price tier, payment terms and deferral, credit limit, debt tracked separately per currency, deals, documents, tickets, tasks and the full event history with dates and authors; the History tab shows who handled the client and when; duplicates are found by name and EDRPOU and merged, moving deals, documents and contacts into one card; custom fields are added without a developer.

**Who it’s for:** B2B companies where several people handle one client; distributors with payment terms and credit limits; companies outgrowing a client spreadsheet.

**Plan:** Available on the free Deals plan, 100 transactions per month

## What it looks like without Krokul

1. A sales rep left for a competitor. Their clients stayed in the CRM, but without the agreements: what was promised, why the discount, when the renewal was planned — nobody knows.
2. The database has “Technoservice”, “Technoservice LLC” and “Techno-Service”: three cards for one client, each with its own deals and debt.
3. The client’s payment terms live in a contract in a folder. The invoice went out with 7-day terms, though 30 days were agreed.

## What Krokul does

### One card, everything about the client

Details, contacts with roles, deals, documents, payments, debt, tickets, tasks, emails. The card answers “where are we with this client” without jumping between screens.

### Terms that apply themselves

Price tier, currency, payment terms and credit limit are set in the card. A quote takes the price from here, an invoice takes the payment due date, and a new deal over the limit gets a warning.

### A history of who handled the client

Every event has a date and an author: stage changes, payment promises, owner changes. The History tab shows everyone who handled the client and what changed along the way.

### Duplicates found and merged

Duplicate search by name and EDRPOU; the merge preview shows what moves where. Deals, documents and contacts from both cards end up in one.

## How it works

1. **The card is created from an inquiry or an import** A web inquiry, a spreadsheet import or manual entry: Krokul checks the EDRPOU and name against existing records right away so you don’t create a duplicate.
2. **Terms are set once** Price tier, currency, payment terms, limit, account owner. From then on, quotes, invoices and the client portal read them from here.
3. **Everything that happens goes into the history** A call, an email, a payment promise, a deal stage change: an activity feed with authors. A payment promise creates a task for that date on its own.
4. **Duplicates into one card** The duplicates report shows similar cards; the merge preview shows what will move; one action, and debt, deals and contacts are combined.

## Result

- A new rep takes over a client with the full history, not a blank page.
- Client terms apply in every document on their own, with no folder of contracts.
- One client, one card, one debt, one history.

## What’s not included

Krokul doesn’t pull company details from government registries automatically: the EDRPOU code is validated, while the name and address are entered or imported. There are no counterparty risk checks (lawsuits, tax debts).

## Questions

### Can I manage a holding with several legal entities?

Yes: several client companies are linked into a group, and debt and deals are visible both per entity and combined.

### What happens when duplicates are merged?

Deals, documents, payments, contacts and history from both cards move into the one you keep; the other disappears. A preview is shown before the merge, and the merge itself is written to the audit log.

### Can I add custom fields?

Yes, in settings, without a developer: text, number, date, list. Custom fields work in filters, import and the API.

### How is this different from a company directory in a typical CRM?

In a typical CRM a company is a directory entry with a name and a phone number. In Krokul the client company card carries terms that documents and prices apply, debt per currency, tickets, subscriptions and the history of owners, so the client doesn’t “leave” with the rep.

### How much does it cost?

Client companies with terms, history and duplicate merging are included in the free Deals plan; client companies and contacts don’t count as transactions. Debt tracking and credit limits in action are on the Money plan.

## Bring your clients into one database

Move your client companies over from a spreadsheet, find duplicates and set terms. Every next document will take them from here.

Included in the Deals plan, free.
