# Outlook Calendar + Krokul CRM

Yes. Krokul CRM integrates with Outlook Calendar, and the exchange runs both ways. Krokul tasks become events in your Outlook calendar, and a moved, completed or deleted event updates the task. A meeting with a client contact, including a Teams meeting, appears on that contact and the open deal. It works through the Krokul app in Zapier or Make, or through Microsoft Graph together with the Krokul API and webhooks.

**Status:** Via API and webhooks. **Automation platforms:** Zapier, Make.

## What your team gets

### Tasks between your Teams meetings

A call scheduled from a deal becomes an Outlook event in the calendar of the assignee, with a link back to the deal in the body. The manager sees Krokul tasks between the Teams meetings of the day, on the laptop and on the phone.

### A moved event moves the task

The manager drags the event to Friday in Outlook. Microsoft Graph notifies Krokul about the changed event, and Krokul moves the task deadline and the reminder with a timeline note that the change came from Outlook. Deleting the event cancels the task; the later change wins when both sides changed.

### A Teams meeting with a client from the deal

From a task in the deal, the manager adds a Teams meeting. Krokul creates the Outlook event with an online meeting, invites the client contact and stores the join link on the task, so everyone opens the same meeting.

### Meetings booked in Outlook land on the deal

A sales head books a call in Outlook and invites a client. Krokul finds the attendee among contacts, records the meeting on the contact and the open deal, and plans a follow-up task for the organiser after the event ends.

## What moves between Outlook Calendar and Krokul

| Outlook Calendar | Krokul | Direction | When |
|---|---|---|---|
| Event in the user calendar | Task with a deadline | Krokul ↔ Outlook | A task or the event changes on either side |
| Deleted event | Task cancelled with a timeline note | Outlook → Krokul | Graph change notification on events |
| Event with a Teams online meeting | Task with a meeting link and the client invited | Krokul → Outlook | The user adds a Teams meeting to the task |
| Event with a client attendee | Meeting on the contact and the deal; follow-up task | Outlook → Krokul | Graph change notification; the task after the event ends |

## How to connect today

### Krokul app in Zapier or Make

1. Connect the Krokul app with a Krokul API key and the Outlook side with a Microsoft work account.
2. Krokul to Outlook: the Krokul trigger Task Created runs the Outlook action Create Event, and Add Attendees to Calendar Event invites the client contact.
3. Outlook to Krokul: Updated Calendar Event or Cancelled Calendar Event updates the task, and Calendar Event Start can feed the Krokul action Create Task for a follow-up.
4. On Make the same flows use its Microsoft 365 Calendar app.

### Custom flow through the Krokul API and webhooks

1. Create a Krokul API key with scopes for tasks and activities.
2. Subscribe a webhook to task.created and check the x-crm-signature header of each delivery with your secret.
3. Write the event through Microsoft Graph and keep its event id on the task with externalRef/api-upsert.
4. Subscribe to Graph change notifications on events and apply each new time, completion or deletion to the task with task/api-update or task/api-updateStatus.

**Triggers:** New Calendar Event; Updated Calendar Event; Calendar Event Start; Cancelled Calendar Event.

**Actions:** Create Event; Update Calendar Event; Add Attendees to Calendar Event; Delete Event; Find Calendar Events.

### For integrators

The connector keeps the Outlook event id against the task as an external key, which lets any later change find the right record. Graph subscriptions on events are renewed before they expire, and a delta query catches up after downtime. For your own flows, the Krokul API creates and updates tasks and sends signed webhooks.

## Questions and answers

### Does Krokul CRM sync with Outlook Calendar both ways?

Yes. Tasks go to Outlook as events, and a new time, deletion or completion in Outlook comes back to the task. Client meetings booked in Outlook are added to deals.

### Can I create a Teams meeting from a task?

Yes. Krokul creates the Outlook event as an online Teams meeting, invites the client contact and keeps the join link on the task.

### Do I need Microsoft 365?

Yes, a work or school account with Exchange Online. Krokul reads and writes the calendar through Microsoft Graph.

### Whose calendar does Krokul write to?

The calendar of each connected user. Krokul places only tasks assigned to that person.

## Limits

Each user exchanges a personal Outlook calendar in Microsoft 365. Events without client attendees stay in Outlook, and room or resource calendars are left to Exchange.
