# Gmail + Krokul CRM

Yes. Gmail is built into Krokul CRM. Each user connects a Gmail mailbox, and every thread with a known contact appears on that contact and on the open deal with the same client. You write and send email from the deal card, and the message leaves from your own Gmail address and stays in your Sent folder.

**Status:** Built in, Via API and webhooks. **Automation platforms:** Zapier, Make, n8n, Albato.

## What your team gets

### A client thread lives on the deal

A buyer replies to a quote from a phone. Gmail tells Krokul about the new message within moments, Krokul matches the From, To and Cc addresses with contacts and adds the email to the contact and to the open deal with that client. The whole Gmail thread reads in order in the deal timeline, so a colleague who takes it over sees what was promised.

### Send from the deal card

The manager presses Email in the deal, picks the contact, a template and the quote PDF. Krokul sends the email through the Gmail API as that user, so the client sees a normal letter from a personal address and the reply lands in the same Gmail thread. The sent email appears on the deal at once.

### Unanswered client email in the Contacts filter

When a contact you own writes and nobody replies for three days, the contact shows up in the unanswered email filter of Contacts. A reply from the deal card or straight from Gmail clears it, because Krokul reads the Sent folder too.

### A new sender becomes a contact in one click

An email from an unknown address lands in the review list with the sender, subject and signature. One click creates the contact, links the client company by the email domain and attaches the thread. With the Krokul app in Zapier you can automate this for a sales@ label with the Gmail trigger New Labeled Email.

## What moves between Gmail and Krokul

| Thread (threadId) | Email thread in the deal timeline | Gmail ↔ Krokul | Every new message in the thread |
| Sent message from the user mailbox | Email written in the deal card | Krokul → Gmail | The user presses Send |
| Message from an unknown sender | Review list; contact on one click | Gmail → Krokul | Gmail push notification |

## How to connect today

### Built-in mailbox

1. In Krokul open Settings, then My Google, and press Connect Google.
2. Google asks for two permissions: read email and send email on your behalf. Krokul does not ask for full mailbox control.
3. Choose how far back Krokul links existing threads with your contacts, and whether personal labels stay out.
4. Each user connects a personal mailbox. Disconnect on the same screen removes the stored access at once.

### Krokul app in Zapier, Make, n8n or Albato

1. Add the Krokul app and connect it with an API key.
2. Use a Gmail trigger such as New Labeled Email with the Krokul search Find Contact by email and the action Create Contact or Create Deal.
3. In the other direction, the Krokul trigger Deal Won with the Gmail action Create Draft prepares a thank-you letter for review.

**Triggers:** New Email; New Email Matching Search; New Labeled Email; New Attachment; New Starred Email.

**Actions:** Send Email; Create Draft; Reply to Email; Add Label to Email; Find Email.

### For integrators

Krokul stores the Gmail access for each mailbox encrypted and remembers which messages it has already linked, so a retry never doubles a timeline. For your own flows, the public API finds a contact by email, adds activities to a deal and sends eleven signed webhook events, with English docs and a sandbox company for tests.

## Questions and answers

### Does Krokul CRM work with Gmail?

Yes. Gmail is built in. Client threads appear on contacts and deals, and you send email from the deal card through your own Gmail address.

### Do my colleagues see my whole mailbox?

No. Colleagues see only the threads linked to contacts and deals they can open in Krokul. The rest of your mailbox stays private to you in Gmail.

### Where does an email sent from Krokul go?

Krokul sends it through the Gmail API as you. The message sits in your Gmail Sent folder, and the client reply returns to the same thread and to the deal.

### Which Google permissions does Krokul use?

Read email and send email. Reading a mailbox is a restricted Google scope, so Krokul goes through the Google security assessment for it.

## Limits

The mailbox stays in Gmail. Krokul keeps a copy of the client threads it links. Mail from senders who are not contacts goes to a review list and stays off the timeline, so personal email does not reach the CRM by accident.
