# Email and calendar + Krokul CRM

Gmail and Google Calendar are built into Krokul CRM, and Krokul integrates with Microsoft Outlook and Outlook Calendar through Microsoft Graph. Each user connects a personal mailbox and calendar. Email threads with known contacts appear on the contact and the open deal, email written in the deal card leaves from the user address, and tasks sync both ways with calendar events.

## What your team gets

### Client threads on the deal

A buyer replies to a quote from a phone. The mail provider notifies Krokul, Krokul matches the sender and recipients with contacts, and the message joins its thread in the deal timeline. A reply sent from the deal card goes out through Gmail or Outlook as the manager and lands in the Sent folder like any other letter.

### Tasks and meetings in one calendar

Krokul places each task of a user as an event in that user calendar. Moving the event moves the deadline, deleting it cancels the task, and when both sides changed, the later change wins. A Google Meet or Teams meeting added to a task invites the client contact and keeps the join link on the task.

### A meeting booked outside Krokul still reaches the deal

A manager invites a client to a call straight from Google Calendar or Outlook. Krokul finds the attendee among contacts, records the meeting on the contact and the open deal, and plans a follow-up task once the event ends.

## What to know

Mailboxes and calendars stay with Google or Microsoft. Krokul keeps the client threads and meetings it links, and mail from unknown senders waits in a review list, so private email and events without client attendees never reach colleagues.

## Questions and answers

### Do colleagues see my whole mailbox?

No. Colleagues see only threads linked to contacts and deals they can open in Krokul. The rest of the mailbox stays private.

### Can a shared sales mailbox create deals?

Yes, with Outlook. The connector watches a Microsoft 365 shared mailbox such as sales@ and opens a contact and a deal in the inbound pipeline for each new sender.

### How do I tell Krokul a task is done from Google Calendar?

Google Calendar events have no done status, so Krokul reads a check mark at the start of the event title as done and removes the event.
