# Deals, projects and profit in one system

You always know who owes you, which invoices are still to be issued and how much you earned on each client.

Krokul calculates margin from the deal amount, hours worked and cost.

## One margin figure — in the project, the client card and the report

14 hours and ₴8,280 margin for Tekhnoservis. Three screens, one source: the deal.

- Project card
- Client company card
- Hours report

## The work is done, and the money is still on its way

- Part of the work done stays stuck in timesheets — 4.5% of revenue (SPI Research, Professional Services Maturity Benchmark 2026)
- Payment for delivered goods and completed work arrives late — 4 in 5 companies (Atradius Payment Practices Barometer 2026, Western Europe)

In Krokul, unbilled and unpaid work is visible on one client card — and in one report.

## The everyday work of a sales team — in one place

### Move deals through stages

Every deal sits at its stage with an amount, a probability and a flag when the next step is overdue.

### See your day

A task opens with a timer, and the hours go to the project while you work.

### Call and write from the card

Comments, calls and emails go into the client’s history next to support requests and payment promises.

### Understand the funnel

The funnel report shows how many deals passed each stage, how many days they spent there and where they dropped out.

## Three steps every deal goes through

### Sell

Contact → Deal → Quote

Inquiries from the website and email become deals, and each one moves through every stage

### Get paid

Contract → Invoice → Payment → MRR

The invoice and the completion certificate come from the deal; debts are visible by due date

### Manage margin

Project → Hours → Act → Margin

Hours against the package and client profit — in one report

### You implement, configure and support

The project is delivered, but what we actually earned we find out next quarter, from Excel.

### You serve clients on a retainer

Hours sit in a time tracker, and at month end you still have to build the report and the invoice.

### You sell goods B2B

Every client has its own price, while stock levels and debts live in separate spreadsheets.

### You sell software through partners

A partner brought the client, the rep claims it too, and rewards are counted in a spreadsheet.

### You sell a subscription

MRR comes from a spreadsheet, and March is different every time you open it.

### You run projects for clients

Hours are in the task tracker, invoices in accounting, and client margin nowhere.

Krokul is not built for B2C retail, point of sale, warehouse logistics (WMS) or full manufacturing ERP.

## Say what your company does — and the CRM is set up

The built-in assistant Kro reads only what your role allows and acts only after your “yes”.

### Start with one question

“We implement ERP and support clients on a retainer” — and the pipeline, stages, inquiry sources and document templates are already set up.

### Answers about your data

“Who has owed us for more than 30 days?” — three rows with amounts and links to the cards.

### Actions with confirmation

Create a task, change a stage, add a field — the assistant shows what it will do and does it once you confirm. Every action can be rolled back.

## Switch without the risk

- **Check the file first.** See the columns, first rows and field mapping before anything is written.
- **Don’t like it — roll back.** Imported records are removed; only what you have already changed stays.

## Questions people ask before they start

- «It’s not built for my business» — After sign-up you see a demo company of your type, already filled with data — not an empty CRM.
- «Setup will take a week» — One question about your type of business is enough for the basic setup. The assistant works with your data; a partner configures the complex parts.
- «Moving our data is risky» — You see the file’s columns and mapping before the run and can roll back if needed. KeyCRM, KeepinCRM, SalesDrive and CSV/XLSX are supported.
- «Adding the whole team will get expensive» — Every plan has unlimited users: you don’t pay per person on the team.

## Our sales, partners and support run in Krokul

- Inquiries from this website reach our funnel through the same webhook our clients use
- Support requests are tickets with an SLA deadline in the same system

## Your data, your rules

### Data in the EU

Data is stored in the European Union. The database is copied daily to separate storage.

### Role-based access

The server checks permissions on every request. Sign-in uses two-factor verification. Every action is logged; deleted items go to the trash.

### Your data stays yours

Export to Sheets, Docs and vCard on any plan. An API for the whole interface.

### People when you need them

The Kro assistant answers right away, and a person joins when needed. A partner takes on complex setup.

## Connect Claude, ChatGPT or your own agent to the same CRM

For the people who will connect it.

### MCP server

An external agent sees data within the key’s permissions.

### Public API

Covers everything in the interface; documentation in English.

## Questions and answers

### What is Krokul?

Krokul is a B2B CRM for companies that work under contracts. It takes the deal further than a typical CRM: into the contract, invoice, payment, project, hours and client margin, in one system. Integration partners implement it; small businesses can get started on their own.

### Which companies is Krokul for?

IT companies and system integrators, SaaS and subscription services, project and service companies, B2B distribution. What they share: contracts, staged or recurring payments, projects or hours, and pricing set by client terms.

### Is Krokul a CRM or something more?

A CRM with a finance and project layer: pipelines, cards, tasks and communications as in a familiar CRM, then the contract, invoices, payments, project, hours and margin on the same card.

### How much does Krokul cost?

There is a free plan for up to 100 transactions a month. Paid plans start at $149 a month per company, at the same price for any number of users.

### Do I need an implementation partner?

Not for a new or small business: one question about your type of business sets up the system, and the assistant helps with the rest. Complex processes, triggers and non-standard data migration are done by an implementation partner.

### Can I move data from another CRM — and move back?

Yes. You see the file’s columns and mapping before the run and can roll back if needed. Migration supports KeyCRM, KeepinCRM, SalesDrive and CSV/XLSX. Export to Google Sheets, Docs and vCard is available on every plan.

### What does the system do on its own, and what only with confirmation?

Configured automations run by their rules and are written to the log. The AI assistant answers questions about company data and performs actions only after you confirm.

### Where is the data stored?

In the European Union. Access is defined by roles: the server checks the user’s permissions on every request, not just the interface. Every action is logged.
