# Know every client’s margin before the month ends

You see how much of the project budget is used, which work over scope is waiting to be invoiced and which clients are late with payment.

Hours are logged with a timer into a project born from the deal, so margin is calculated from the same money your accounting team sees.

**In short.** Krokul is a B2B CRM for agencies and project firms: quote options, a contract and milestone invoices are created from the deal, a won deal becomes a project, hours are logged with a timer against the package or budget, work over scope shows its price before the invoice, the certificate is built from actual hours and the invoice from the certificate, debts are visible by due date, and revenue minus the cost of hours gives each client’s margin.

**Who it’s for:** digital and marketing agencies; design studios; engineering and project bureaus; consulting teams billed by project.

## Sound familiar?

Only 1% of agencies bill clients for all the work beyond scope (survey of 273 US agencies, Ignition — an invoicing service for agencies, 2025).

- «The client asked for “one more small thing”, and it stayed in the hours»
- «The project budget is already used up, and we found out from the certificate»
- «Hours are in the task tracker, invoices in accounting, and margin in a spreadsheet once a quarter»
- «The invoice for the previous milestone was paid a month late»
- «The client wants three scope options, and we build each quote from scratch»

## Over budget, priced right away

Hours against the paid package and the amount to bill — visible while the “small thing” hasn’t yet grown into a week of work.

## A timer in the task

Hours are logged to the project from the task; each person sees their own.

## Certificate from hours, invoice from the certificate

The package and the hours over it in one certificate; the invoice is built from it.

## Who owes and since when

Debts by due date and a payment promise with a date — you see whom to remind today.

## Every client’s margin

Hours, cost, revenue and margin — by client.

## Quote options by scope

Basic and extended scope are separate quotes from one deal.

## Advance and milestones as invoices from the deal

Billing details and amounts aren’t retyped; payment status is visible in the row.

## A project from the won deal

The scope of work and client contacts carry over automatically.

## Questions and answers

### How much does it cost?

Users do not affect the price on any plan. Quotes are on the free Deals plan. Contracts, invoices and payments start with the Money plan, $149 per month. Projects, hours, certificates and margin are on the Margin plan, $399 per month.

### Do I need an implementation partner to get started?

You can start on your own: the demo company and your own company are both launched from one question about your business type. A certified Krokul partner can take on data migration, accounting integration or complex rules.

### How is this different from a task tracker?

A task tracker knows tasks and hours. Krokul also knows the deal, the invoice and the payment: hours are logged to a project born from the deal, so client margin is calculated from the same money your accounting team sees.

### Can I run both fixed-price and hourly work?

Yes. A project has a package of hours or a deal amount; hours over the package are visible with their price before the invoice, and margin is calculated from actual hours in both cases.

### How is the completion certificate built?

At the end of the period the certificate is assembled from the package and the actual hours over it. The invoice is built from the certificate by converting the document — line items are not retyped.

### Who sees rates and cost?

Only roles with that access. Permissions are defined by roles, and the server checks them on every request.

### Is there a Gantt chart?

Krokul holds the deal — hours — money link. It has no Gantt charts or task dependencies and doesn’t calculate payroll from hours; the resource plan stays in your own tool.
